Keep your child’s EHCP on track. From the first request to every yearly review.
Applying for a plan, or already have one? EHCP Tracker keeps every deadline, report and letter in one private place on your phone. If your child already has a plan, add it in minutes and get a yearly review, outcomes and provision checks you are ready for.

Two ways to use it
For families applying, and for families who already have a plan.
An EHC plan is a living document. It has to be reviewed every year, its outcomes followed and its support checked. EHCP Tracker helps at both stages.
Applying for a plan
The 20-week clock counted from your request date, every statutory deadline with what to do if it is missed, template letters filled in from your case, and evidence and calls logged as you go.
Already have a plan
Upload the plan as a PDF or photos and the app reads it into sections, outcomes and provision for you to check. Then keep the yearly review on track, follow each outcome, and see exactly what changes when it is amended.
The 20-week clock
Three deadlines the local authority must meet.
Once an EHC needs assessment is requested, the clock starts. EHCP Tracker counts down to each deadline for you.
Decision to assess
The local authority must tell you whether it will carry out an EHC needs assessment.
Draft plan
If an assessment goes ahead, a draft EHC plan should be issued for you to review.
Final plan
The final EHC plan should be issued, setting out the support your child will receive.
Weeks 6, 16 and 20 are statutory deadlines under the SEND Regulations 2014. EHCP Tracker helps you organise and understand the process. It is not legal advice. Try it with your own dates in our free deadline calculator.
What’s inside
Everything from the first request to every yearly review.
Deadlines, step by step
Each step of the 20-week process is marked done or upcoming, with the due date and how many days are left. Add them to your phone calendar.
Your plan, kept alive
When the final plan is issued, it moves into the app. Keep the text of each section, read it in from a PDF or photos if you like, and see exactly which sections changed whenever the local authority amends it.
A yearly review you are ready for
Every date the law sets: notice and reports two weeks before, the report two weeks after, the decision within four weeks, then the draft, your 15 days to comment and the final plan within eight weeks. With a checklist, an agenda for the meeting and your rights if you disagree.
Outcomes and progress
Track each outcome in Section E with a status and dated progress notes, so the review is about what actually happened. Print a one-page review summary with your outcomes, provision and new evidence to take with you.
Phone reminders
A notification on your phone, and an email if you like, a week, three days and a day before each deadline, and on the day.
Model letters
Template letters, filled in from your case and grouped by where you are in the process, including the yearly review: asking for the reports, chasing a late decision, asking to amend the plan and replying to a draft. Record when you send each one.
Evidence
Log reports, letters and notes, with a photo of each document and its page number in your bundle.
Provision and contacts
Check the support promised in Section F against what is delivered, week by week, and keep a record of every call, email and meeting.
Case pack
One printable document, with page numbers, for an adviser, solicitor or tribunal: dates, chronology, evidence index, contact log and letters sent.
Plain-English guidance
Each stage explains what it means and what to do next, so you are not working it out alone.
Your case stays with you
Your child’s details and your evidence are kept on your own device, not on our servers. Back up in one tap.

Questions
Good to know.
Is EHCP Tracker available yet?
Yes. Open advocate.includeme.uk on your phone or computer, start the 3-day free trial, and add it to your home screen if you like.
Who is it for?
Parents and carers in England, at either stage. If you are applying, it counts down the 20-week process. If your child already has an EHC plan, you can add it and use the yearly review, outcomes and provision tracking straight away. You do not need to have started with the app.
Is there a free trial?
Yes, 3 days free with every feature. You add a card to start, but nothing is taken during the trial. On day 4 your card is charged £3.99, then every month until you cancel. We email you the day before the first payment. If you cancel in Settings before the trial ends, you pay nothing, and you can always export your data.
Where is my child’s information kept?
On your own device. Your child’s details, plan, evidence, notes and letters are stored in your browser on the phone or computer you use, and are not kept on our servers. That is why EHCP Tracker has a one-tap backup. We keep only your email address and what you have paid for, and, if you switch reminders on, the dates of your deadlines. If you choose to read your plan from a PDF or photos, the pages are sent to an AI service to be turned into text, once you agree. They are not stored or kept in any log, and you check the result before it is saved. Read the privacy notice.
What happens after the plan is issued?
EHCP Tracker moves on to the plan itself. You keep its sections in the app, track each outcome, check provision, and follow the yearly review step by step: the dates the SEND Code of Practice and Regulations set, a checklist for the weeks before, an agenda for the meeting, and what to do if the local authority amends the plan, keeps it as it is or proposes to cease it, including the appeal deadlines.
Can it read my plan for me?
Yes, if you want it to. Choose a PDF or photos of the pages and the app turns them into the plan’s sections, outcomes and provision for you to check. It is a convenience, not a guarantee: it can make mistakes, so read what it found before you save, and nothing you have already written is replaced unless you tick it. You can also paste the sections in by hand. Reading is part of the free trial and the full version.
Do I need an account or a password?
You sign in with your email address. We send you a 6-digit code to type in, so there is no password to remember or lose.
Will it send reminders to my phone?
Yes, in the full version. You choose whether to get phone notifications, email, or both. On an iPhone or iPad you first add EHCP Tracker to your Home Screen, which the app walks you through. Reminders are optional and you can turn them off at any time.
Is there an app to download?
Not from an app store. EHCP Tracker is a website that you can add to your Home Screen so it opens like an app, on iPhone, Android or a computer.
Can I get a refund?
Cancel before the free trial ends and you pay nothing. After a payment we do not refund a month already paid, though you have a 14-day right to cancel (you pay for the time used). This does not affect any legal rights you have, for example if the app is faulty.
How much will it cost?
£3.99 a month for your whole family, however many children. You can cancel any time in the app and keep access until the end of the month you have paid for.
Is this legal advice?
No. EHCP Tracker helps you organise your case and understand each stage. It is not legal advice.
Is the IncludeMe Activity & Therapy Finder affected?
No. The Activity & Therapy Finder is a separate app and stays free for families.
